Challenges

After one year of operation, Apollo Hospital, Dhaka experienced patient records volumes far in excess of projections. Their Medical Records Department (MRD) was quickly running out of space for records storage and there was no process in place for digitizing them yet. MRD staffs were becoming overwhelmed with phone-calls from doctors, audit team and other stakeholders requesting for patient’s medical historical data, inter-departmental medical & operation files, etc. High chances of losing important records such as “In-patient files” from MRD storage quickly became a major concern of the hospital management. In order to comply with international standards and satisfy global auditors, Apollo needed a scalable solution to automate records management process.

Solution

Document Imaging was evaluated as a suitable alternative to consuming more valuable floor space with shelving and adding additional file clerks. Upon evaluating a Robo2Mation solution, Apollo realized many additional benefits other than timely response to record retrieval requests. The system has custom document type categories for Admission information, Diagnosis Report, Hospitalization Report, Released Report, and others which can be uploaded by UHID number, IP Number, Patient Name, Doctor Name, Date of Admission and Age so that documents can be identified by multiple search parameters. The software has a powerful search engine that provides quick and advanced search features. Search results are blazing fast and efficient.
